 SAFETY

Safety is our priority on all our adventures.  We have accident and emergency policies in place and all our guides receive regular first aid training.  Our guides carry a basic first-aid kit for biking and trekking, while a larger and more comprehensive kit is usually carried by the support vehicle. Our leaders are trained to brief about safety on every leg of your journey every day, from advising you about the trekking terrain, or how to check brakes and cycle safely downhill, to paddle techniques and coping with sea swells when kayaking.  This high standard we believe sets us apart from our competitors.

 Service

From the office to the field we deliver top quality service and don’t accept any less.  From first point of contact we work as fast and as accurately as we can to tailor make your adventure. We are not ‘cut and paste’ travel consultants. We bring out the map and pore over every detail taking into consideration your special requests. We send samples that are full of detail and illustration and follow up bookings with professionalism. In the field our guides take care of every minor detail for your safety, comfort and enjoyment and are available to you round the clock. Once your adventure is over, our work is not finished. After every tour, our guides report back to the office to discuss the trip and make suggestions for improvements. In some cases they draw maps of new routes and give us new ideas. This is great team work and helps our adventure consultants to widen their knowledge and understanding. It also gives us that ‘edge’ over other travel companies in Vietnam. In addition our office staff regularly join in with groups in the field to experience life on the road. They also go out to research new routes when the office is not so busy.  All our trips are extensively researched, tried and tested. We pride ourselves in our ability to offer off the beaten track adventures for those who need to blaze new trails.

 SUSTAINABLE TOURISM

Wildlotus Adventures works hard to maintain and sustain the heritage, cultural integrity and natural beauty of Vietnam. We firmly believe in protecting the environment with its unique flora and fauna. We believe in respecting the traditions, religions and heritage of our local cultures. We wish to benefit local communities by introducing guests who can overnight in village home stays or take part in locally empowered initiatives. We try to minimize pollution, be it noise, or waster disposal and try to conserve natural resources from the office to the field.

We offer each customer information about Responsible Tourism. This helps our guests to feel ‘at home’ when they start their adventure, as they will be equipped with some understanding of the customs and etiquette of the country. As well as training guides on the principles of sustainable tourism and advising guests, our team is constantly in touch with on-the-ground initiatives being worked on by International and local non-governmental organizations as Fauna and Flora International and Koto restaurant in Hanoi

 DIFFICULTY LEVELS

Wildlotus adventures are graded as easy, moderate, or challenging according to the degree of difficulty of road surface, terrain, the amount of technical skill required and other factors such as heat, altitude, level of vehicle support, type of accommodation and distance.

Biking Grades Easy: easy biking adventures with Wildlotus are ideal for the recreational or occasional cyclists; for off-road trips they serve as a good introduction to mountain biking or will make for a more relaxing trip for more experienced riders.

Moderate: suitable for moderately fit and confident riders who are comfortable in the saddle. These adventures generally follow vehicle width tracks on mountain bike trips with optional single track trails. On road cycling trips the terrain will generally be more varied and distances longer, with changes in the conditions of the road surface.

Challenging: for fit cyclists and above. Mountain biking experience is essential, including technical riding on rough and steep surfaces and single-track. For road riders distances will generally be about 100 – 120km per day.

Trekking Grades Easy: Anyone who is in good heath and is fit enough to enjoy a good weekend walk can manage this grade.Easy treks tend to be short in duration, on flat terrain and at low altitudes. On a typical day the trek will typically be from two to four hours duration.

Moderate: a medium trek could be a fairly easy walk over a full day or a short hike on more difficult terrain. Some hiking at higher altitudes and occasional longer or more difficult days may be involved, but generally conditions underfoot will be fair. A trekking day would normally be between 5-8 hours long. It is advisable to be in good health and reasonably fit.

Challenging: for any trek at this level, fitness is most important. Challenging treks are equivalent to extended walking in a mountain terrain at higher altitudes. Trekkers should be able to cope with difficult paths on steep mountainsides. Climate and remoteness will also play a part in this grading level. Trekking days are usually between 6 – 8 hours although there may be some longer days for pass-crossing. Previous trekking experience is desirable.

 BOOKING CONDITIONS

Please ensure that you have read and understood the general information contained in our website regarding the style of our adventures, flights and other travel information before ticking the appropriate box (online form) to indicate your acceptance of these terms and conditions.

Virtually all of our adventures take place in Vietnam - an emerging but still developing country. No matter how much preparation and organisation goes into a tour, things can go wrong. Heath and safety, and general operational standards of transport and accommodation may not meet Western standards. If you can not accept certain last minute changes, please rethink before booking with us. The outline itineraries in on this website should be taken as an indication of what each group should accomplish and not as a contractual obligation on our part. 

Your contract is made with WILDLOTUS ADVENTURES., JSC whose registered office is at: 43 Nghi Tam Road, Tay Ho District, Hanoi, Vietnam. (International Tour License No 0685/ 2007/TCDL-GPLHQT).

WILDLOTUS ADVENTURES will accept bookings subject to you agreeing the conditions set out below: 

Participation: You need to be  in suitable physical condition to undertake the activity as set out in the itinerary and be fully aware of the possible risks inherent in adventure travel. The whole philosophy of this type of adventure travel is one which allows alternatives and a substantial degree of on-tour flexibility. You must come prepared to cope with unusual situations, local inadequacies and unpredictable events as and when they can occur.

The outline itineraries given for each adventure are an indication of what each individual could accomplish and they are not a contractual obligation on our part. It is a fundamental condition of joining any WILDLOTUS ADVENTURE that you accept this flexibility, and acknowledge that delays and alterations and their results are possible.

You must comply with the laws and regulations of Vietnam and comply with all reasonable instructions of your guide relating to the safety and organisation of the adventure.

We shall not subject any personal data about you to any processing except as may be required for the purposes of the holiday. In particular, we shall not make use of such personal data for promoting or marketing our own services (other than those applicable to the adventure) or other events and shall not transfer such personal data to any third party except as maybe necessary for the purposes of the holiday.

You agree that any photography taken prior to, during, or after the expedition, which may include you in it, may be used in publicity material connected with WILDLOTUS ADVENTURES and that we will retain all rights, title and interest in such photography made by us including but not limited to any royalties, proceeds, or other benefits derived from such material.  

Balance of payment: Upon confirmation of a reservation, a 30% (thirty percent) deposit is requested and you will be required to pay the balance of the full cost (full cost minus deposit) to us plus any price increase if applicable eight weeks before departure. We reserve the right to treat any arrangements as being cancelled by you if such payment is not received on time. Wildlotus Adventures also reserves the right to change any arrangement (including tours, programmes, prices and services) in the best interest of their clients with or without prior notice.

All payments should be executed by cash, credit card, bank transfer or travellers cheques. Except for cash payment, a service charge may apply. Any bank charges levied by the sending bank relating to transfers to Wildlotus Adventures.,JSC  must be paid by their clients.

 Reservation and confirmation: Reservations will be proceed upon receiving of your confirmation by writing and a 30% (thirty percent) deposit for the total tour cost. Wildlotus Adventures will send you a confirmation within seven working days with all details (such as services names, type of accommodation, trains and flights schedules, list of participants with their full passport names, adresses and contact of all hotels) and the Wildlotus Adventures emergency numbers. Vouchers for booking arrangements will be issued and sent to you (after receiving of your full payment) by mailing or email attachment or on your arrival day depending on our arrangement.

The effect of price increases: Please allow for changes in costs by airlines or any government action including but not limited to new or increased taxes such as VAT, or in changes in embarkation or disembarkation fees, airport taxes or fuel surcharges,

If you amend or cancel your participation: In the event that you wish to change a booking previously confirmed by us in writing (such as adding in extra excursions or extending your return date), we will assist you. However, you will be responsible for any unrecoverable charges or expenses in making such amendments (i.e. lost deposits on flights and hotels).

If we amend the itinerary: The itineraries and other details are published in good faith as statements of intention only and reasonable changes to the itinerary, vehicle and equipment use may be made where deemed necessary or advisable. Sometimes this is due to improvements made as a result of client feedback. Other times, it has been made necessary through transport changes. In an adventure the itinerary may be and often is changed at short notice due to changing weather patterns, wildlife movements, and other factors out of our control. While we will make all proper and reasonable efforts to maintain the advertised Itinerary we do not guarantee that we can keep to the intended Itinerary and we therefore reserve the right to amend the Itinerary as and when it may become necessary to do so. If there is a minor modification before you depart, we will try to notify you. If we are required to change the itinerary during the adventure, the Vietnamese guide in conjunction with WILDLOTUS ADVENTURES Head Office, will arrange the best alternative. We are not responsible for changes which arise as a result of situations outside of our control such as technical or maintenance problems with means of transportation, changes imposed by re-scheduling or cancellation of flights by an airline, epidemics or health risks, war or threat of war, civil strife, industrial disputes, natural disasters, bad weather, closed or congested airports, ports or stations, bureaucratic obstacles or terrorist activity.

Our liability: Clients together with their personal property including baggage, are at all times solely at their own risk. We accept responsibility for the negligent acts and/or omissions of our employees, agents, sub-contractors and suppliers while acting within the scope of or in the course of their employment with us and for any deficiencies in the services we are contractually obliged to provide or the failure of such services to reach a reasonable standard. In any such case our liability shall be limited to a maximum double the cost of your tour. We do not accept responsibility in respect of death, bodily injury or illness of any person participating in one of our adventures as a result of (but not limited to) physical exertion for which a guest is not prepared; forces of nature; consumption of alcoholic beverages; civil unrest; terrorism; breakdown of equipment; lack of or limited access to medical attention in remote locations; and the adequacy of medical attention once provided; or where the cause was the Client’s fault, the actions of someone unconnected with the expedition arrangements, or if it is due to unusual or unforeseeable circumstances beyond our control, the consequences of which could not have been avoided even if all due care had been exercised; or an event which neither we, nor our servants, agents or suppliers could have anticipated or avoided. We do not accept responsibility in respect of death, bodily injury or illness of any person taking one of our adventures except when caused by the negligent acts and/or omissions of our employees, agents, sub-contractors or suppliers while acting within the scope of or in the course of their employment, agency, contract of supply or sub-contract. We do not accept any responsibility for disruption, inconvenience, cancellation or alteration to holidays due to problems caused directly or indirectly by computer problems, where these problems are not our fault or the fault of our suppliers or could not have been avoided even though all reasonable care has been taken.

Documentation: You will be provided with general information about passport and visa requirements. You must ensure that your travel documents,  passport, visas, and vaccination certificates are in order. Visa regulations can change, and may do so at short notice and sometimes without announcement. Where we become aware of any changes to regulations, we will notify you if we are able. We cannot however be responsible for mistakes by embassies, sudden changes to regulations, or actions of border officials that are beyond are control. We are able to advise on mandatory health requirements, however, we are not medical experts. It is your responsibility to ensure that you obtain proper and detailed medical advice. We cannot be held responsible if you do not check current requirements before your departure. We are not liable to you for any costs, expenses or other sums incurred by you as a consequence of a refusal to allow you into Vietnam as a result of insufficient time on your passport or otherwise.

Conditions of carriage/accommodation: The times of flights and other forms of transport cannot be guaranteed. Internal flights in Vietnam are particularly vulnerable to change. We have no control and accept no liability whatsoever for cancellations and delays, which are subject to operational decisions by airlines and/or traffic control authorities. If flight delays mean that any additional transfers are required these costs must be met immediately by you and should later be reclaimed under your insurance policy if applicable. No credit or refunds will be given if you fail to take up any component of your holiday, or if you lose, mislay or destroy any travel documents.

Risks: An adventure holiday is not without risks. You must be adequately fit to cover the distances and undertake the program set out in your itinerary. You therefore take part entirely at your own risk and agree to indemnify us, our employees, agents, sub-contractors and suppliers against claims for loss or damage to personal property or for loss or consequential losses or claims through your participation in this holiday arising from your own actions. If you are refused access to Vietnam, we do not accept liability for any costs and expenses you incur. We will give such assistance as we can in the circumstances without any obligation upon us to do so and without any liability for our actions on your behalf. Cyclists must wear a helmet meeting EUROPEAN/USA standards when riding and must wear such other safety clothing or equipment as may be required the rules and regulations of WILDLOTUS ADVENTURES. For water-based activities you must be able to swim 50 metres fully clothed.

Complaints: We will do our very best to ensure that your travel arrangements go according to plan. However, if you have a complaint arising out of what we have agreed to provide for you please let us know at the earliest opportunity. If a problem arises during your holiday , it is important that you advise your guide or WILDLOTUS ADVENTURES Head Office at the earliest opportunity and we will endeavour to put things right. If you fail to follow this procedure we cannot accept responsibility, as we would have been deprived of the opportunity to investigate the matter and hopefully rectify any problem.

Applicable law: The contract between us, and these booking conditions are governed by and construed in accordance with VIETNAMESE  law.  In the event that any clause or provision of these Booking Conditions shall be held to be invalid, the invalidity of such clause or provision shall not otherwise affect the remaining provisions of this contract, which shall continue and be enforceable. To confirm your undertstanding of these Booking Conditions, please tick  the box on the Registration Form acknowledging your acceptance of these terms and conditions.

 INSURANCE

WILDLOTUS is insured with Gras Savoye Willis VN. This insurance covers among other things, medical (emergency, evacuation and repatriation) arrangements, cancellation and curtailment of the expedition, and more specifically for the adventurous activities undertaken on your holiday.  

You must make sure you have your own personal travel insurance arrangements and make sure this includes remote evacuation by helicopter and repatriation.

It is not possible to anticipate every conceivable risk or accident that can occur on an adventure holiday. In addition, no insurance policy covers every possible accident that may arise. You are therefore requested to consider for yourself the wording of the policy that you take out.
